Job Description

The position of Office Administrator is designed to support the needs of the company with general administrative duties and coordinating the schedules for the Executives.

 

In addition to the below specified duties, the expectations of this position requires managing their own work schedule so that all duties below will be performed in a time sensitive manner.  It also requires working cohesively with all staff and management, in addition to dealing with clients and other contacts in a professional manner.

 

This person must be able to function well under pressure, prioritize multiple tasks and have excellent customer service skills. 

 

 

RESPONSIBILITIES:

 

  • Act as receptionist for office, greeting visitors, collecting mail and signing for deliveries and answer and direct overflow calls.
  • Event planning
  • Maintain office, conference rooms and break room; order supplies as needed
  • Calendar Management utilizing Outlook for select executives (Out of Office, Busy, Room Resources, etc)
  • Posting open and proactive recruiting positions to job boards and tracking applicants 
  • General administrative responsibilities including filing and organizing 

 

 

Requirements

 

  • Must have a high degree of professionalism with excellent interpersonal, customer relations and organizational skills required.
  • Strong problem solving skills and the ability to handle multiple tasks/ projects in an organized manner, paying close attention to detail and follow-up, is required.
  • Ability to work independently and take direction from multiple persons (when needed), work under pressure, and adapt to sudden changes in the work environment is essential.
  • Must be able to effectively manage confidential information
  • Communicate in a professional and accurate manner
  • Demonstrate ability to complete all tasks with a high degree of accuracy, attention to detail and follow-up 
  • Must be proficient with Microsoft Office (Excel, Word, Power Point and Outlook) and comfortable learning new software
  • Must be organized, self-driven and detail oriented
  • Must possess excellent written and verbal communication skills
